RECOMMENDATION(S):

APPROVE and AUTHORIZE the Fire Chief, or designee, to execute a contract amendment with Vision33 Inc., to increase the payment limit by $33,000 to a new payment limit of $640,000, to provide for implementation, hosting, and support of the Calytera Amanda fire inspection software system, with no change in the term March 11, 2020, through March 10, 2023.

FISCAL IMPACT:

100% CCCFPD General Operating Fund. The District's Fire Prevention Bureau charges fees for fire safety inspections, permitting of specific operations, and plan review services. The records management system cost is considered when calculating the fire prevention fees so they reflect the District's actual costs of providing services.

BACKGROUND:

The Contra Costa County Fire Protection District Board of Directors authorized the District to execute a contract with Vision33 Inc. on March 10, 2020. Issues with data migration during the implementation process caused delays and extended the project timeline. The District also decided to add Laserfiche integration for access to scanned documentation. This required an integration platform to be added. These unanticipated changes increased the cost above the initial estimated price.
