RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the Public Works Director, a purchase order amendment with Refrigeration Supplies Distributor to increase the payment limit by $75,000, to a new payment limit of $350,000, and to extend the termination date from August 31, 2018, to August 31, 2020, for refrigeration parts and supplies, Countywide.

FISCAL IMPACT:

This cost is to be funded through the Public Works Department Facilities Services maintenance budget. (100% General Fund)

BACKGROUND:

In August 2015, the Public Works Department conducted Bidsync # 1507-149 soliciting a vendor for refrigeration parts and supplies. These parts are typically items used in repair and maintenance of refrigeration systems. The County has several facilities that are equipped with commercial refrigeration units, from small refrigerators to large walk in units. Refrigeration Supplies Distributor has been awarded this commodity for three (3) years with two (2) possible one-year extensions. This request represents the two additional one year extensions. Government Code Section 23004 authorizes the County to make contracts and purchase and hold personal property necessary to the exercise of its powers.

CONSEQUENCE OF NEGATIVE ACTION:

If this purchase order is not approved, refrigeration parts and supplies with Refrigeration Supplies Distributor will not proceed.
