RECOMMENDATION(S):

APPROVE and AUTHORIZE the Chief Information Officer, Department of Information Technology, or designee, to execute a contract amendment with Genesis Data, Inc. to extend the term from June 30, 2021 to June 30, 2023 and increase the payment limit by $792,000 from $2,466,576 to a new payment limit of $3,258,576 to provide data entry services.

FISCAL IMPACT:

The increase of $792,000 over the next two years is recovered through interdepartmental charges to departments utilizing the contractor’s services. Funds for this contract are appropriated in the Department of Information Technology's budget each fiscal year.

BACKGROUND:

Genesis Data, Inc. has provided data entry services for the County for many years. This contract was initiated when it became cost prohibitive to perform in-house data entry services. Recent technology has made it possible for departments to perform much of their own data entry, however, there still is need for this vital service. With the implementation of the Workday Financial Management System on the horizon, the need for data entry services may be significantly reduced once Workday has been fully implemented and tested.

CONSEQUENCE OF NEGATIVE ACTION:

If this agreement is not approved, the Department of Information Technology will not be able to provide a data entry vendor for use by County departments.
