RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the Public Works Director, an amendment to purchase order #021037 with Lehr Auto Electric, Inc., effective June 8, 2021, to increase the payment limit by $151,000 to a new payment limit of $350,000 for emergency vehicle parts and supplies, with no change to the term of November 1, 2020 through October 31, 2021, Countywide.

FISCAL IMPACT:

This cost is to be funded through Fleet Services Internal Service Fund and user departments. (75% Fleet Internal Service Fund, 25% User Departments)

CONSEQUENCE OF NEGATIVE ACTION:

If this agreement is not approved, the purchase of parts to outfit County vehicles from Lehr Auto Electric, Inc., will discontinue.






BACKGROUND:

Public Works Fleet Services purchases and outfits all emergency services vehicles for the County. This includes vehicles from the Sheriff, Public Works, Animal Services, Probation, District Attorney and Health Services Departments. The Sheriff’s vehicles take up the vast majority of this commodity. Fleet Services purchases lights, consoles, electrical switching, electronics, wiring, and other parts to outfit County vehicles. Government Code Section 23004 authorizes the County to make contracts and purchase and hold personal property necessary to the exercise of its powers.  
  
This amendment will be adding $151,000 to the current contract limit of $199,000. This amendment is needed to ensure the County has access to the contractor's parts, equipment and supplies through the term of the purchase order. The increase in purchase order limit will be used as needed, with no minimum amount that must be used.
