RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County, Amendment No. 1 with Ray A. Morgan Company, LLC, effective September 1, 2019 through June 30, 2030, to update specifications, functionality and pricing for copier rentals and managed print services, as recommended by the Public Works Director, Countywide.

FISCAL IMPACT:

Amendment No. 1 includes newer copiers with improved print management costs to all departments. This action has no fiscal impact.

CONSEQUENCE OF NEGATIVE ACTION:

If the amendment is not approved, the County will function with limited choices of copiers and will result in paying higher costs.

BACKGROUND:

On July 23, 2019, the Purchasing Agent was authorized to execute an agreement with Ray A. Morgan Company, LLC for copier/multifunction device rentals and managed print services. Since that date, the specifications, functionality and pricing of models of copiers and multifunctional devices has changed. This board order authorizes the Purchasing Agent to execute Amendment No.1 to the Master Agreement with Ray A. Morgan Company, LLC. Amendment No. 1 includes an add-on to Section 1 (C) and complete replacements of Exhibits A, B, E and I. The amendment effective date is September 1, 2019, through June 30, 2030.
