RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the County, Amendment No.1, with J.J.R. Enterprises, Inc., dba Caltronics Business Systems, to update specifications, functionality and pricing for copier rentals and managed print services effective February 02, 2020, through June 30, 2030, as recommended by the Public Works Director, Countywide.

FISCAL IMPACT:

Amendment No. 1 includes newer copiers with improved print management costs to all departments. This action has no fiscal impact.

BACKGROUND:

On July 23, 2019, the Purchasing Agent was authorized to execute an agreement with J.J.R. Enterprises, Inc., dba Caltronics Business Systems, for copier/multifunction device rentals and managed print services. Since that date, the specifications, functionality and pricing of models of copiers and multifunctional devices has changed. This board order authorizes the Purchasing Agent to execute Amendment No. 1 to the Master Agreement with J.J.R. Enterprises, Inc., dba Caltronics Business Systems. Amendment No. 1 includes an add-on to Section 1(C) and complete replacements of Exhibits A, B, E and I. The amendment effective date is February 02, 2020 through June 30, 2030.

CONSEQUENCE OF NEGATIVE ACTION:

If the amendment is not approved, the County will function with limited choices of copiers and will result in paying higher costs.
