RECOMMENDATION(S):

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute a contract amendment with Avanti Computer Systems, Inc., effective June 21, 2016, to increase the payment limit by $16,000, to a new payment limit of $141,000 to purchase additional cost recovery software and related support, with no change to the original term, Countywide.

FISCAL IMPACT:

100% from charge-outs to customer departments.

BACKGROUND:

The Print and Mail Division (Print & Mail) of Public Works recovers 100% of its labor and equipment costs. On January 21, 2016 the Board of Supervisors approved the Software and Services Agreement with Avanti Computer Systems Inc. to provide software and support for estimating and cost recovery software that is integrated with Print & Mail's on-line request system and the County's finance system. The additional funds requested in this amendment are to purchase the "Shop Floor" module. The Shop Floor module will take the cost recovery element one step further by comparing actual shop floor data and compare it to estimated production data thereby helping Print & Mail more accurately capture and allocate primary resources including personnel, machinery and time.

CONSEQUENCE OF NEGATIVE ACTION:

If the Public Works Department is not allowed to amend this contract, Print & Mail will not be able to purchase the module nor take advantage of the efficiencies it will provide.
