RECOMMENDATION(S):

APPROVE and AUTHORIZE the Public Works Director, or designee, to execute contract amendments to contracts with C&J Favalora Trucking Inc., and Dillard Trucking, Inc., to extend the contract completion dates from May 12, 2021 to May 12, 2022 for each contract, with no change to the payment limit, for the On-Call Trucking Services Contract(s) for Various Road and Flood Control Maintenance Work, Countywide.  

FISCAL IMPACT:

These on-call contracts were funded 100% by local road and Flood Control District funds. This action is only to extend the contract and not to increase the payment limit. (No fiscal impact)

BACKGROUND:

On May 12, 2020, the County awarded two (2) on-call contracts for trucking services for various road and flood control maintenance work to supplement Public Works Maintenance crews during routine and emergency work, and to perform work that may be time-sensitive and may require specialized equipment and skills. These contracts have a term of one year, with the option of two one-year extensions.  
  
The contracts were awarded in the priority below, became effective on May 12, 2020, and are set to expire on May 12, 2021.  
  
* C&J Favalora Trucking Inc., in a not-to-exceed amount ($600,000.00) and unit prices submitted in the bid ($305.00, Total Unit Price);  
  
* Dillard Trucking, Inc., in a not-to-exceed amount ($600,000.00) and unit prices submitted in the bid ($340.00, Total Unit Price).  
  
To retain the services of and enable timely payment to C&J Favalora Trucking Inc., and Dillard Trucking, Inc., the Public Works Director recommends that the Board approve Contract Amendment #1 and authorize the Public Director, or designee, to sign Contract Amendment #1 for the County. This amendment will extend the completion dates for each contract from May 12, 2021 to May 12, 2022. There are no changes to the maximum payment limits.

CONSEQUENCE OF NEGATIVE ACTION:

Failure to approve the contract amendment may prevent the Public Works Department from completing routine and emergency road, flood control, and airport maintenance work in a timely manner.
