RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the Health Services Director, a Purchase Order with R-Computer, Inc. in an amount not to exceed $780,000 for the purchase of custom computers, monitors, scanners, laptops, and other hardware parts for the period from July 1, 2021 through June 30, 2024.

FISCAL IMPACT:

Approval of this purchase order will result in annual expenditures over a three-year period of $780,000 ($250,000 year 1, $260,000 year 2, and $270,000 year 3) and will be funded 100% by Hospital Enterprise Fund I revenues.

BACKGROUND:

The Health Services Department Information Technology (IT) Unit currently owns custom build systems, laptops, thin clients, monitors, printers, scanners, and other related hardware parts. These PC systems are custom configured and designed to fit for multiple Health Services departments including hospital, clinics, Mental Health, Public Health, Contra Costa Health Plan, Authorization Unit, Environmental Health, Medical Records, West County Health Center, Pittsburg Health Center, Antioch Health Center, Brentwood Health Center, Mobile Clinics, School based Clinics and Finance and Administration. R-Computer provide 3 years warranty for Lenovo and HP hardware including parts and labor. This is a renewal for PO F012509.

CONSEQUENCE OF NEGATIVE ACTION:

If the purchase order is not approved, the hardware will be outdated, and unexpected failure will be high. This could impact productivity at some locations including patient care at the hospital, health clinic locations, and key departments.
