RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute, on behalf of the Health Services Director, a purchase order with Groupware Technology, Inc. in an amount not to exceed $187,600 for the purchase of VMWare software licenses and support, for the period of May 8, 2018 through June 29, 2020.

FISCAL IMPACT:

100% funded by Hospital Enterprise I Fund.

BACKGROUND:

The Health Services Department (HSD) Information Technology Unit utilizes VMware server virtualization software across its multi-site data center infrastructure, to support all internal services including the ccLink Electronic Health Record system, as well as providing secure access to third party medical providers and affiliates. The VMware solution is the backbone that enables these services to function. VMWare also provides support for the software under the support and subscription services terms and conditions, dated June 1, 2016, between the County and VMWare.

This purchase will provide for additional licenses and support for the expansion and scalability of the new data center environment at 2380 Bisso Lane, Concord, CA.

CONSEQUENCE OF NEGATIVE ACTION:

If the purchase is not approved, HSD will be at risk of an inability to grow beyond existing limits. This may increase the potential for loss or corruption of patient data and could lead to patient care issues and related emergencies.
