RECOMMENDATION(S):

APPROVE and AUTHORIZE the Chief Information Officer to extend the GrantStream, Inc., contract term through October 31, 2022 and increase the payment limit by $100,000 to a new payment limit of $211,200 for two annual renewals of system maintenance and support of the grants by Benevity Software-as-Service grant management application.

FISCAL IMPACT:

The cost for this contract will be funded with Keller Canyon Mitigation funds.

BACKGROUND:

The Department of Conversation and Development administers, on behalf of the District V Supervisor and the Board of Supervisors, the Keller Canyon Mitigation Fund. The Board allocates Keller funds annually to community-based program through a competitive grant program. The current in-house develop grant management system has limited capabilities and does not work with today’s technology. GrantStream’s management system, Benevity, reduces manual processing of grant funds distribution. It also provides staff with better reporting and mobile computing capabilities. This proposed contract amendment will extend the term and payment limit to cover the next two annual application hosting, utilization, system maintenance and support payments as well as for any software enhancements that may be deployed.

CONSEQUENCE OF NEGATIVE ACTION:

If this contract extension is not approved, the system will not be maintained and supported. Staff will have ineffective means to administer the grant programs.
