RECOMMENDATION(S):

ACCEPT report on Board chamber Improvements.

No fiscal impact. This is an informational report only.

BACKGROUND:

As part of a Board Room technology upgrade project, we will be replacing two of the old TV monitors with Flat Panel displays that are located towards the back of room and adding two large flat screen monitors in the front of the room. This will greatly improve the electronic presentation viewing for our audience while in the room. For our remote viewing audience, we are installing a new broadcast streamer (video encoder) made by Granicus Inc. Remote audience will then be able to watch the Board meetings live on their smart phone, tablet, or computer. A drawing has been attached displaying the proposed changes to the Board Room (Board Room Upgrade.pdf).  
  
BACKGROUND: (CONT'D)
    Granicus Inc. provides cloud-based technologies for government transparency, legislative efficiency, and citizen engagement online and over mobile devices. We have incorporated their live broadcast streamer to give our viewers a choice of watching our Board Meetings live on their smart phone, tablet, or computer while away from our Board Room. In order to install the Granicus broadcast streamer (video encoder) into the Board Room, several technology improvements to the Board Room are required such as additional power circuits and the expansion of the computer network resources.  
      
    First Phase Board Room improvements that are currently underway:
    1. Addition of power circuits and computer network feeds to the CCTV Console
    2. Repair of power outlet by the podium
    3. Additional power circuits on the Media Table to allow removal of an extension cord held down by duct tape which has been in place for several years.
    4. Repair of the Microphone and Line feeds for the media
    5. Relocate the PA power switch from the back of board room to the wall near the CCTV console table
    The above were required in preparation for the new Granicus Video encoder. The Encoder cannot go into production until the above is complete which has an ETA of end of January. The Granicus Encoder will be used to produce a live Board Meeting Audio and Video stream for viewers accessible on their smart mobile devices and computer.   
      
    Next phase:  
      
    The technical and funding details are still being worked on the following:  
    1. Install video distribution amplifier and new video feeds
    2. Upgrade the SVGA projector with a remote control panel
    3. Upgrade the audience display units and install additional audience displays.

    CONSEQUENCE OF NEGATIVE ACTION:

    Not applicable.
