RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent to execute a purchase order with Integrated Archive Systems, Inc. on behalf of the Employment and Human Services Department , Information Technology Division, in an amount not to exceed $291,361, for the purchase of a Solid State Disk Array to enhance document retrieval and increase efficiency.

FISCAL IMPACT:

$291,361:(10% County; 45% State; 45% Federal)

CONSEQUENCE OF NEGATIVE ACTION:

EHSD will continue to face delays in storage and retrieval of client documents.

BACKGROUND:

The Employment and Human Services Department uses document imaging as an integral part of its business to ensure that documents submitted by its customers are immediately available to all staff who need access. There are over 800 users on the system at any given time, many seeking to review stored documents. In a recent assessment of our document management system by an outside contractor, it was determined that we could increase the speed of document retrieval, especially multi-page documents, nearly a thousand-fold by adding a Solid State Disk Array. The addition of this hardware will make retrieval of stored documents significantly faster and increase efficiency.
