RECOMMENDATION(S):

APPROVE and AUTHORIZE the Purchasing Agent, or designee, to execute, on behalf of the Public Works Director, to execute an amendment to a purchase order with Refrigeration Supplies Distributor to increase the amount payable by $90,000 to a new total of $275,000, for refrigeration parts and equipment, and extend the termination date from August 31, 2014 to August 31, 2015.

FISCAL IMPACT:

The cost is to be funded through the General Fund.

BACKGROUND:

In July 2010, the General Services Department conducted a bid on BidSync soliciting vendors for refrigeration parts and supplies. These parts are typically items used in repair and maintenance of refrigeration systems. Posted as BidSync bid No. 1007-006, Refrigeration Supplies Distributor was awarded a purchase order to supply Facilities Maintenance with these items. The original request was for two (2) years with three (3) possible one-year extensions. This request represents the third of these extensions.

CONSEQUENCE OF NEGATIVE ACTION:

If this agreement is not approved, purchasing refrigeration parts and equipment from Refrigeration Supplies Distributor will discontinue.
